Are you detail-oriented, tech-savvy, and great with people? Join our team as an Office Operations Manager! In this critical role, you will drive process efficiency, foster a positive team culture, and deliver exceptional client service to support our value-driven growth.
Key Responsibilities
Software & Systems: Master our practice management software to optimize services, fees, ordering, and financial tracking.
Team Scheduling: Manage monthly employee schedules using Excel or new scheduling software you may recommend.
Culture Leadership: Lead by example to build a positive environment focused on trust, open communication, and fun.
Inventory & Purchasing: Monitor clinic inventory and collaborate with vendors for order efficiently and waste reduction.
Tech & Equipment: Partner with IT and equipment vendors to coordinate necessary maintenance and purchases.
Regulatory Compliance: Audit and manage documentation to ensure we meet all licensing, safety, and agency standards.
Team Support: Cover Customer Service Representative (CSR) or Tech Assistant shifts occasionally to stay connected and get some puppy time!

Experience & Education
Experience: 2+ years of Veterinary office operations or administrative experience.
Industry Knowledge: Prior experience working in a veterinary clinic (highly preferred) , medical office, or animal care facility.
Education: Licensed Tech or CVT with Veterinary Office Operations experience (Preferred). Business degree from accredited college is a plus.
Technology Skills
Software: Proficiency with Veterinary Practice Management Software and MS Excel or Google Sheets for data tracking and scheduling.
IT Comfort: Ability to troubleshoot basic computer issues and comfortably coordinate with external IT vendors.
Core Competencies
Financial / Efficiency Mindset: Understanding of key financial metrics and an ability to identify and fix inefficient processes.
Familiar with Regulatory standards (such as OSHA, DEA), and documentation required to ensure compliance.
Inventory Management: Experience with inventory control/management and vendor negotiations.
People Skills: Proven ability to manage staff scheduling, resolve conflicts, and build a positive team culture.
