About the role

Job Summary: Assists the CEO and employees on Administrative related issues. Performs administrative and budget related duties. Assists the Administration Department with departmental responsibilities. Participates in performance improvement and continuous quality improvement (CQI) activities.

Ability to oversee general management of the Administration Department. Supports all Administration programs and activities.

Demonstrates the ability to compile and organize data for annual department budget. Performs cost/benefit analysis. Makes recommendations.

Coordinates all budgeted, capital purchases for Administration.

Demonstrates the ability to monitor and reconcile expenditures of budgeted funds.

Continuously monitors department expenses for cost containment.

Demonstrates the ability to order supplies; completes and authorizes requisitions.

Able to put together data from different sources for special projects; prepares reports.

Maintains procedures and controls to promote communication and adequate information flow.

Researches, complies data, draws conclusions and makes recommendations to address system problems.

Demonstrates the ability to perform secretarial duties, i.e., typing, dictation, correspondence, preparing reports, memos,

Reviews and edits materials; formats and types publications, reports, letters general correspondence.

Develops and maintains facility database for personnel records; records are kept confidential.

Answers the telephone in a professional manner; directs calls appropriately.

Reads and distributes incoming mail; submits appropriate material to the Administration Department.

Responds to all inquiries in an expedient manner.

Maintains department records, files, policy and procedure manual.

Ensures polices and procedures are followed.

Communicates appropriately and clearly to the CEO and co-workers.

Maintains a good working relationship both within the department and with other departments.

Is a team player; works on special projects with Administration staff, schedules workflow.

Is a resource person both within the department and to administrative staff of other departments.

Demonstrates the ability to schedule meetings between departments and management.

Demonstrates the ability to be flexible and organized.

Manages and operates equipment safely and correctly.

Performs other duties as assigned.

Supports and maintains a culture of safety and quality.

Regulatory Requirements:

Associate's Degree, preferred.

Three to five (3-5) years experience in business, administrative and/or supervisory experience.

Accounts payable experience, preferred.
