Position Summary
The Meeting Planning Manager is responsible for the end-to-end planning, development, and execution of external and internal events aligned with business objectives, brand priorities, and stakeholder engagement strategies. This role leads the creation of impactful in-person, hybrid, and virtual experiences for internal and external audiences, ensuring operational excellence, budget optimization, compliance adherence, and elevated attendee experience, ensuring compliance with local and global regulations, resource optimization, and continuous improvement through adoption of new tools and process simplification. The position requires strong cross-functional collaboration with commercial, medical, marketing, communications, procurement, compliance, and external agencies/vendors to deliver high-quality events that strengthen business relationships and organizational reputation.

Lead and manage a portfolio of strategic events, congresses, advisory boards, speaker programs, leadership meetings, and commercial operations initiatives.
Manage interactions and logistics involving HCPs and HCOs in alignment with compliance and transparency requirements.
Oversee credentialing processes, attendee documentation, contracting coordination, and compliance workflows.
Manage multiple external agencies, suppliers, production partners, and venues simultaneously.
Handle significant event budgets and financial reconciliation processes.
Collaborate cross-functionally with Commercial, Medical, Compliance, Procurement, Legal, Finance and Communications, ensuring operational excellence, risk mitigation across all event activities, and support for executive-level visibility events and strategic business priorities.
Why You?
We are seeking professionals with the following required skills and qualifications to help us achieve our goals:
Bachelor’s degree in Marketing, Business Administration, Communications or related field.
Strong experience in strategic events, congress management or corporate event management, with strong experience managing HCP and HCO engagements within regulated industries.
Experience coordinating credentialing processes and compliance documentation, with knowledge of healthcare/pharmaceutical compliance standards and transparency requirements preferred.
Proven ability to manage multiple large-scale projects simultaneously, including agencies, suppliers, and external partners.
Intermediate English required.
Strong organization communication, hands on, accountable and stakeholder management are mandatory soft skills.

Location and Working Model
This role is based in Mexico. The position is hybrid with an expectation of regular on-site presence in Mexico City and travel to other cities for events.
