Operations Manager – Property Management Company
Position Overview
We are seeking a highly organized, proactive, and experienced Operations Manager to oversee and optimize the daily operations of a fast-paced property management company specializing in student housing and residential communities. This role is responsible for ensuring operational efficiency across leasing, maintenance, tenant relations, accounting coordination, vendor management, and team performance.
The ideal candidate is a strong leader with exceptional communication skills, attention to detail, and the ability to manage multiple priorities while maintaining a high standard of service and professionalism.
Key Responsibilities
Operations & Property Oversight
Oversee the day-to-day operations of the property management portfolio.
Ensure properties are maintained to company standards and operational goals.
Monitor occupancy, leasing performance, tenant satisfaction, and operational efficiency.
Lead and oversee make-ready operations to ensure timely unit preparation.
Conduct regular property inspections to maintain quality standards and identify operational issues.
Coordinate and supervise maintenance schedules, repairs, and capital improvement projects.
Team Leadership & Supervision
Manage and supervise office staff, maintenance personnel, leasing teams, and third-party vendors.
Foster a culture of accountability, professionalism, and high performance.
Assist with recruiting, onboarding, training, and evaluating employees.
Develop and implement operational procedures and best practices.
Leasing & Tenant Relations
Assist with leasing operations and ensure compliance with internal procedures.
Conduct tenant screening and maintain leasing standards.
Oversee tenant communications and maintain strong tenant relations. Be familiar with DocuSign and Texas Association of REALTORS® (TAR) lease forms and related documentation.
Resolve escalated tenant concerns, disputes, and operational issues professionally and efficiently.
Monitor leasing traffic, renewal strategies, and occupancy trends.
Vendor & Maintenance Management
Supervise vendors and contractors to ensure quality, efficiency, and cost control.
Approve and manage major maintenance decisions above a defined cost threshold.
Obtain and review bids for maintenance and improvement projects.
Ensure maintenance requests are completed in a timely and professional manner.
Financial & Administrative Oversight
Oversee accounting coordination and operational reporting.
Assist in managing budgets, invoices, expense tracking, and vendor payments.
Manage and organize tenant and owner portals.
Oversee deposit returns and ensure accuracy and timeliness.
Assist ownership with operational reporting, budgeting, and strategic planning.
Maintain accurate records, reports, and compliance documentation.
Owner & Stakeholder Relations
Maintain strong owner relations and provide periodic updates as required.
Represent the company professionally with owners, tenants, vendors, and community stakeholders.
Assist in implementing operational strategies to improve efficiency and profitability.
Qualifications & Requirements
Required Qualifications
Bachelor’s degree in Business Administration, Real Estate, Property Management, Finance, or a related field preferred.
Minimum of 5+ years of experience in property management or operations management.
Minimum of 3+ years in a leadership or supervisory role.
Strong knowledge of residential property management operations.
Experience managing multiple properties and teams simultaneously.
Proficiency with property management software such as Buildium, AppFolio, Yardi, or similar systems.
Strong understanding of leasing, maintenance operations, budgeting, and tenant relations. Excellent organizational and multitasking abilities.
Strong written and verbal communication skills.
Ability to work in a fast-paced environment and handle high-pressure situations professionally.
Preferred Qualifications
Experience managing student housing communities preferred.
Real estate license or property management certifications are a plus.
Experience overseeing large-scale make-ready or renovation operations.
Ability to develop and improve operational systems and workflows.

Work Environment
This position requires both office and field responsibilities, including visiting properties, supervising operations, and responding to operational needs as necessary. Availability outside standard business hours may occasionally be required to address urgent operational matters.
Pay: $70,000.00 - $80,000.00 per year
