About the Role
At Pavago, one of our clients is seeking a highly organized and execution-focused Operations Specialist to manage day-to-day workforce operations on a live scheduling platform.
This role sits at the operational core of the business and is responsible for ensuring shifts are filled, professionals are activated, attendance is monitored, and clients experience seamless execution across every shift.
This is not a traditional administrative or support role. You will oversee the full shift lifecycle — from onboarding workforce professionals to resolving real-time attendance issues and last-minute operational changes.
The ideal candidate thrives in fast-moving environments, remains calm under pressure, and takes ownership of operational execution from start to finish.
What You’ll OwnShift Fulfillment & Coordination
Own and manage the end-to-end shift fulfillment process
Respond quickly to incoming client shift requests and staffing needs
Assign professionals to shifts and confirm attendance and availability
Ensure shifts are filled efficiently while maintaining workforce quality and reliability
Workforce Onboarding & Engagement
Onboard and activate professionals on the platform
Maintain consistent communication with workers to improve engagement and retention
Build long-term reliability and responsiveness within the workforce network
Ensure workforce records and onboarding details remain accurate and current
Live Operations & Issue Resolution
Monitor attendance, clock-ins, and active shifts in real time
Follow up on late arrivals, no-shows, or operational disruptions immediately
Handle last-minute schedule changes, cancellations, and emergency coverage needs
Coordinate directly with on-site managers and clients to resolve live operational issues
Maintain smooth communication during fast-changing situations
Systems & Operational Improvement
Keep internal trackers, documentation, and operational systems organized and updated
Maintain accurate records of attendance, fulfillment, and issue resolution
Identify recurring operational bottlenecks and recommend workflow improvements
Support process optimization initiatives that improve speed, reliability, and service quality

Required Experience & Skills
2+ years of experience in operations, staffing, workforce coordination, or scheduling roles
Strong spoken and written English communication skills
Strong stakeholder management and coordination abilities
Excellent organizational and time-management skills
Comfortable using digital platforms, operational systems, and live scheduling tools
Reliable computer setup and stable high-speed internet connection
Preferred Experience
Experience working within staffing platforms, marketplaces, or startup environments
Exposure to shift-based or on-demand workforce operations
Experience monitoring attendance, clock-ins, scheduling, or fulfillment KPIs
Experience improving operational processes or workflow efficiency
Familiarity with workforce coordination in healthcare, hospitality, logistics, or staffing industries
What a Typical Day Looks Like
An Operations Specialist’s day revolves around ensuring live operations run smoothly and every shift is executed successfully. You will:
Review incoming shift requests and secure workforce coverage
Communicate with professionals to confirm assignments and attendance
Monitor active shifts and follow up on late arrivals or no-shows
Resolve scheduling conflicts and secure replacement coverage when needed
Coordinate with clients and on-site managers in real time
Maintain accurate operational documentation and tracking systems
Identify inefficiencies and recommend process improvements
In essence: you are the operational backbone of the platform, ensuring every shift is filled, every issue is handled quickly, and every client receives reliable service.
