About the role
The Program Coordinator supports the delivery of a hybrid program that combines Waterfall planning for program milestones with Agile delivery across multiple workstreams. This role covers all the Project Coordinator/Project Management fundamentals, including managing team schedule, Kanban boards and project tracking tools, governance reporting, project risks and Financials.
The role ensures effective coordination, visibility, and communication across teams, tracking dependencies, risks, issues, and progress vs plan while bridging structured and iterative approaches.
Reporting to the Transformation Director, Head of PMO, you will focus on:
Program Coordination & Delivery Support
Coordinate program activities across Agile and Waterfall projects &/or workstreams, ensuring alignment with overall objectives and timelines.
Maintain and update the integrated program plan, including milestones, sprints, releases, dependencies, and critical paths.
Track and follow up on program actions, risks, issues, and decisions (RAID), escalating appropriately.
Support program-level governance (Steering Committees, stage-gate reviews) and Agile ceremonies (sprint planning, Scrum of Scrums, retrospectives).
Maintain accurate program documentation, including version control of key artefacts.
Maintain project financials, support vendor invoicing, monthly accruals, and reporting.
Maintain resource plans, progressive updates, resource and work dependencies.
Provide general project administration, and support Project/Program Managers as required.
Agile & Kanban Tools Management
Manage and maintain Kanban boards for multiple teams, ensuring accurate representation of work in progress, priorities, and status.
Maintain and administer Jira boards/projects for tracking tasks, sprints, releases, and dependencies.
Generate dashboards and visual reports from Jira to provide program-level visibility.
Support backlog refinement, sprint planning, and release coordination activities.
Track metrics (velocity, lead time, burndown, throughput) to highlight delivery health.
Governance & Reporting
Produce structured reporting on milestone progress, budget, and delivery health
Monitor and proactively manage dependencies and risks across teams
Prepare concise program updates for leadership and stakeholders.
Your key relationships will include program and delivery leads, scrum masters, project teams, workstream leads and the PMO. However, this may pivot over the journey of the program
The ideal applicant will facilitate stakeholder communication through program updates and team coordination while supporting hybrid delivery practices, onboarding, and collaboration. Maintains knowledge repositories, tracks lessons learned and improvement actions, and identifies opportunities to strengthen governance, reporting, accountability, and coordination across teams operating within structured and iterative delivery environments.
