What this job involves:

As the Experience and Events Coordinator, you will be the face of exceptional workplace experience at our client's site, creating moments that matter for employees and guests alike. This front-facing role places you at the heart of a dynamic tech environment where you will manage all client events, foster community, and deliver seamless execution that keeps stakeholders delighted. You will partner with cross-functional teams, vendors, and leadership to ensure every event—from intimate meetings to large-scale gatherings—runs flawlessly. What your day-to-day will look like:

Be the welcoming presence: Spend a minimum of two hours daily greeting employees at reception or entrances, walking floors to ensure workspaces, conference rooms, and pantries are stocked and well-maintained

Manage events from start to finish: Coordinate all client events, ensuring flawless execution including room layouts, décor, rentals, catering, and vendor coordination while accommodating last-minute changes with professionalism

Build strong stakeholder relationships: Engage daily with event hosts, Executive Assistants, leadership, client sites, and event creators to understand their needs and deliver exceptional service

Respond with speed and care: Review and respond to all customer comments and newly assigned events within 24 hours, resolving complaints with a friendly, solution-oriented approach

Oversee food and beverage programs: Act as the managing agent for F&B services, coordinate monthly audits, verify invoices, and work closely with the Onsite F&B Manager to maintain quality and adjust orders based on headcount

Support site operations and compliance: Conduct site inspections, prepare monthly and quarterly event reports, manage vendor performance, maintain health and safety compliance, and process purchase orders and invoices accurately in JDE and client systems

Communicate and coordinate seamlessly: Process high-volume emails efficiently, keep cross-functional teams informed, and ensure no details are missed in event correspondence, coordination, and execution

Required Qualifications:

Proven experience in events coordination, hospitality, or a customer-facing role with demonstrated ability to manage multiple events simultaneously

Exceptional front-facing and interpersonal skills with the ability to present professionally and build rapport quickly with diverse stakeholders

Strong communication skills—both written and verbal—with the ability to lead conversations, host events, and liaise effectively with internal and external parties

Excellent administrative and organizational skills with high attention to detail and accuracy in processing requests, invoices, and reports

Ability to remain calm, composed, and solution-focused under pressure, especially when managing last-minute changes or high-stakes events

Proficiency in email management, scheduling systems, and financial platforms (e.g., JDE or similar purchase order and invoice systems)

100% onsite availability with a flexible, can-do attitude and commitment to being visibly engaged in the workplace

Preferred Qualifications:

Background in hospitality, events companies, or luxury service environments

Experience working in Integrated Facilities Management (IFM) environments such as JLL, CBRE, or similar corporate office settings in the CBD

Familiarity with facilities management operations, including health and safety compliance, vendor management, and site inspections

Knowledge of food and beverage operations, including invoice verification, audits, and coordination with catering teams

Experience using global platforms for event management, audits, or KPI reporting

Prior exposure to tech company cultures or fast-paced, innovation-driven workplaces

Ability to provide backup support for broader facilities management tasks when team members are on leave
