About the role

Graduate Customer Operations Specialist – German Speaker

Description -

The Customer Operations Specialist works within a European, multicultural and fast moving business environment, supporting the HP Customers and Sales Force, within the area of order fulfillment. He/ she is located in a central order management team and has a wide variety of responsibilities:

Key Responsibilities

1. Backlog Accountability

Own and manage the customer and partner order backlog, ensuring timely delivery within agreed SLAs and business priorities.

Monitor order and backlog management tools daily, proactively identifying delays and taking corrective actions.

Provide accurate and timely backlog analysis and status reports to customers and account teams.

Manage claims, exceptions, special requests, and customer change requests in line with agreed processes and policies.

2. Financial & Revenue Management

Ensure orders are correctly invoiced and closed in internal systems, triggering billing actions or providing justification where required.

Minimize field inventory exposure through continuous review and escalation.

Proactively manage and resolve financial disputes to minimize impact.

Support revenue optimization, especially at quarter‑end, through collaboration with internal stakeholders.

3. Communication & End‑to‑End Coordination

Act as the single point of contact for customers regarding orders in process and claims, ensuring proactive, clear, and accurate communication.

Provide guidance to customers on the order management lifecycle and order acceptance policies via phone and email.

Coordinate with internal teams including Sales Operations, Order Fulfillment, Logistics, and Credit & Collection to ensure smooth end‑to‑end execution.

Deliver proactive status updates to customers and sales teams, particularly for orders at risk of SLA breach.

General Responsibilities

Ensure accuracy, timeliness, and compliance of Customer Operations processes.

Adhere to global and local internal policies and quality standards.

Deliver additional operational tasks as requested by the manager.

Education, Knowledge & Skills

Recent graduate (within the last 12 months) with a Bachelor’s or Master’s degree in Supply Chain Management, Industrial Engineering, Business Administration, or a related field .

German at minimum B2 level and fluent English (spoken and written).

Initial exposure to customer interaction and working in complex or multi‑country environments is a plus.

Good knowledge of Microsoft Office , with Excel and Power BI considered a strong advantage .

Strong analytical mindset with attention to detail and data‑driven thinking.

Clear customer‑centric approach , focused on delivering value and service quality.

High level of curiosity and willingness to learn in an operational environment

Flexibility and adaptability , with the ability to prioritize and manage multiple tasks effectively.
