Job Summary
Reporting to the Change Manager, the Technical Writer plays a key role in developing end-user documentation that supports the successful adoption of Mohawk College’s Enterprise Resource Planning (ERP) system, Banner, and related applications as part of the Banner Business Transformation (BBT) Project. The BBT Project is one of the College’s most significant transformation initiatives, focused on modernizing Banner and associated business processes to better support students, faculty, and staff.
The Technical Writer is responsible for creating clear, accurate, and user-friendly Standard Operating Procedures (SOPs) within the scope of the BBT Project. This role is focused exclusively on documenting approved future-state processes and translating complex functional and technical knowledge into practical, easy-to-follow procedural documentation that supports operational readiness and long-term sustainability.
Working in close collaboration with operational Subject Matter Experts (SMEs) and Instructional Designers, the Technical Writer ensures that SOPs are consistent, standardized, and aligned with related training and change enablement materials. Documentation will be developed using a screen-capture tool supplemented by written procedural guidance to create step-by-step guides.
While this role does not involve the design or delivery of training, it plays a critical role in ensuring that operational documentation effectively complements and reinforces learning, adoption, and ongoing use of the Banner system post-implementation.
What you’ll be doing:
Standard Operating Procedure (SOP) Development & Documentation
Audit existing operational documentation to assess completeness, quality, and gaps between current-state and future-state processes within the BBT scope.
Develop, update, and maintain clear, accurate, and user-friendly Standard Operating Procedures (SOPs) for Banner and related systems throughout the duration of the BBT Project.
Translate complex functional and technical processes into structured, step-by-step procedural documentation using a screen-capture tool supplemented by written instructions.
Ensure all documentation reflects approved future-state processes, system configurations, and project decisions.
Align SOP templates and documentation outputs with Mohawk College branding guidelines, relevant corporate policies, Universal Design for Learning (UDL) principles, and accessibility standards.
Ensure documentation is authored and structured to enable business SMEs to independently update and maintain SOPs post-implementation, supporting continuous improvement.
Apply established BBT documentation standards, templates, and style guidelines consistently across all deliverables.
Ensure documentation is validated, accessible, and ready for go-live and post-go-live operational use.
Support ongoing updates and refinements as processes, systems, and operational needs evolve throughout the project.
Stakeholder Engagement & Knowledge Capture
Partner, consult, and collaborate with project and operational stakeholders, and subject Matter Experts (SMEs) to elicit, validate, and document business and system process knowledge.
Facilitate review, validation and approval of end user process documentation to confirm accuracy, completeness, usability, and alignment with future-state design.
Build strong working relationships with stakeholders across functional areas to support effective knowledge transfer and documentation adoption.
Collaborate with the Change Management team to ensure alignment in approach, quality standards, and stakeholder engagement.
Alignment with Change Management & Training
Partner with Instructional Designers to ensure SOPs, process diagrams, and visual artifacts complement and reinforce training materials and learning pathways.
Align documentation terminology, sequencing, and structure with training content, job aids, and change communications to support a consistent end-user experience.
Upload ready-to-use end user documentation into BBT SharePoint Knowledge Hub
Project Management & Coordination
Plan, track, and manage documentation deliverables (SOPs, diagrams, and other visual artifacts) in alignment with BBT project timelines, milestones, and dependencies.
Coordinate inputs, reviews, and approvals across SMEs, Instructional Designers, Change Management team members, and other project stakeholders.
Identify risks, issues, or delays related to documentation readiness and escalate concerns to the Change Manager as needed.
Support documentation handoff and transition planning to ensure operational ownership post-project.
Other duties as assigned.
What you’ll bring to the role:
A minimum of 3-year diploma/degree or equivalent in Technical Communication, English, Journalism, Communications, Information Design, Business, Computer Science, or a related field preferred. Or equivalent combination of post secondary education and relevant experience in technical writing, documentation, or ERP system documentation.
Certificates or courses in Technical Writing/Procedural Writing.
Minimum of 3 years of project coordination experience.
Experience using communication tools such as MS Teams, Zoom.
A minimum of 5 years of professional experience in technical writing, business process documentation, or procedural documentation.
Demonstrated experience translating complex functional and technical information into clear, structured, end-user documentation such as Standard Operating Procedures (SOPs), or system guides.
Experience working with enterprise systems (e.g., ERP, LMS, HRIS, or comparable platforms), including documenting processes.
Hands-on experience collaborating with Subject Matter Experts at various levels (SMEs) to elicit, validate, and document business and system processes.
Experience applying documentation standards, version control, review and approval processes, and accessibility or usability principles.
Experience using documentation and visualization tools (e.g., screen-capture tools, process mapping or diagramming tools) to support end-user understanding and adoption.
Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
The ability to communicate and work effectively with diverse students, employees, and communities.
